Privacy Policy

Summary: Colony Manager ("the App") does not collect, receive, transmit, or sell any personal data on any server of ours. Everything you enter stays on your device and, if you choose, syncs only through your own private iCloud. No accounts, no analytics, no tracking, no third-party services.

Scope of this policy

This policy describes what happens to data when you use the App. The App has no server of its own and makes no network requests to collect data, so the data it processes stays within your own device and your own iCloud account.

No data collection

The App does not collect, access, or transmit any personal data to the developer. Specifically:

The App Store privacy label for the App is "Data Not Collected", which reflects how the App actually behaves.

Data you enter

Information you enter into the App is stored locally on your device using Apple's standard on-device storage. This includes your colony and animal records (mice, rats, and zebrafish, including counted fish stocks), cages and tanks, breeding pairs, litters and clutches, pedigrees and genotyping, procedures, project licenses, welfare scores, tasks and reminders, any photos you attach, and your app settings. This data is under your control at all times. You can delete it within the App, or by uninstalling the App.

iCloud Sync

The App uses Apple's CloudKit framework to sync your records between your own Apple devices that are signed in to the same Apple Account. Your data is stored in the private database of an iCloud container inside your own iCloud account. The developer has no access to it, and Apple does not share it with the developer or any third party. Apple's privacy policy and iCloud terms govern this storage. You can turn iCloud Sync off at any time in your device's Settings, under your name, iCloud, Apps Using iCloud. If you delete your data inside the App while iCloud Sync is on, the deletion propagates through iCloud to your other signed-in devices.

iCloud Backup (separate from iCloud Sync)

If you have enabled iCloud Backup in your device Settings, your App data may also be included in your device's standard iCloud backup, alongside your other apps. This is an Apple feature, not part of the App, and the developer has no access to it.

Camera and photos

With your permission, the App uses the camera to scan cage and tank barcodes and to attach photos to animal records. Barcode scanning runs entirely on your device through Apple's frameworks; no camera frames or barcode images are saved or transmitted, only the decoded text. Photos you attach are stored locally on your device and, if iCloud Sync is on, in your own private iCloud database, never on any server of ours and never shared with any third party. You can grant or revoke camera access at any time in your device Settings.

Notifications

With your permission, the App schedules local reminders on your device (for example husbandry, welfare checks, or task due dates). These are generated and shown on your device. The App also uses the background remote-notification capability solely for Apple's iCloud sync, so changes on one device appear on another; this is handled by Apple and sends no data to the developer.

Apple Watch and widgets

If you use the companion Apple Watch app, task and reminder information is shared between your iPhone and Watch using Apple's on-device frameworks; it is not sent to any server. Home Screen and Lock Screen widgets read a small amount of on-device state through an Apple App Group (storage shared only between the App and its own extensions on your device). All of this stays on your device.

Internet requests

The App works offline. It makes no network requests for data collection, analytics, or remote configuration. The only outbound activity consists of standard Apple operations: iCloud Sync and iCloud Backup (handled by iOS), the App Store rating prompt (handled by iOS), and opening this Privacy Policy or the Terms of Use in your browser if you tap the link in the App. None of these send your data to the developer.

Children's privacy

The App is intended for adult researchers and animal-facility staff in a professional setting. It does not knowingly collect information from anyone, and because no data is collected by the developer, no data from children is collected.

Data retention

Your data is retained for as long as you keep the App installed and, where iCloud Sync is on, until you delete it from iCloud. Uninstalling the App removes its local data from that device; the iCloud-synced copy remains available for your future installs until you delete it. The developer cannot access, retain, or recover any of your data in any of these locations.

Your rights

Because the App stores no personal data on any server of ours, there is no server-side data for us to access, correct, export, or delete. You keep full control through your device:

Residents of the EU, UK, and other jurisdictions with comparable data-protection laws have additional statutory rights regarding personal data. Because the App does not collect or process personal data for the developer, those rights are satisfied by your direct control of your device and iCloud account.

Provider identification

For the identity and postal address of the provider responsible for the App, see the Impressum. This satisfies the identification requirement under GDPR Article 13(1)(a) and the German Digital Services Act (§ 5 DDG).

This is an Apple iCloud "Hide My Email" alias that forwards to the developer and does not reveal a personal email address. If you contact the developer by email, your message and email address are used solely to respond to your enquiry, are not used for marketing, and are not shared with third parties.

Changes to this policy

This Privacy Policy may be updated from time to time. Material changes will be reflected here with an updated date at the top, and may also be reflected inside the App.
